Reserve desired site of sale as soon as possible.
Order Certificate of Insurance from AHS Exhibitions Chairman one month prior to sale. (Forms on AHS Website) Present Certificate of contact person at site of sale if necessary.
Reserve 8 tables from Art Pancake's RentAll two weeks prior to sale. Make arrangements for club member to pick up tables on the Friday prior to the sale, and to return them as required.
Verify with Mall that Friday afternoon setup is OK, and what time volunteers may appear - two weeks prior to sale.
Place notice of sale in NES Power Notes 6 weeks prior to sale. Notice may be e-mailed to them. Event may also be posted on the NES website calendar of events.
Place notice of sale in The Tennessean Gardening Calendar four weeks prior to sale. Notice should be e-mailed to firstname.lastname@example.org and email@example.com
Place notice of sale on WPLN website - "Happenings".
Schedule "labeling party" for preparation of sale plants and notify members of date and location, asking them to dig and wash their plants prior to bringing them for dividing and labeling.
Collect large plastic pots to hold all individual cultivars following labeling. Make a plan for holding area for plants between labeling and sale date.
Prepare lists of available plants and check photo archives to prepare picture boards for day of sale.
Prepare schedule of workers for set-up day and site of sale and for the day of the sale.
Gather materials for day of sale: tablecloths, masking tape, push pins, boards, pens, membership forms, cultivation information, clean-up supplies (broom, dust pan), flyers containing club meeting and contact information.
Make arrangements for posters and hand-outs with sale information if appropriate.
